01Who we are and what this covers

Dorje AI Pte Ltd. (“Dorje AI”, “we”, “us” or “our”) is based in Singapore. This policy explains how we collect, use and disclose personal data through this website, business enquiries, newsletter subscriptions and registrations of interest in our services.

Customer use of Vajra, Mantra or a separately contracted service may involve additional privacy notices, customer instructions and data-processing terms. This website policy does not replace those agreements or determine how a customer handles its own data.

02Information we collect

  • Enquiries: your name, work email, optional company name, service of interest, message and correspondence with us.
  • Subscriptions: your email, subscription preferences and confirmation status. If you subscribe through the contact form, your name, company, service of interest and enquiry context may also be recorded with your subscriber profile.
  • Xero registration: when you choose to sign up with Xero, the identity provider supplies your name, email and account identifier. We also record registration details needed to follow up. This initial sign-in does not authorise access to invoices, contacts, balances or your ledger.
  • Technical information: website requests and security information, which may include IP address, browser and device details, timestamps and error information. Our service providers may process this information to deliver and protect the site.

Please provide only the information needed for your enquiry. Do not send passwords, access keys, sensitive personal information or confidential customer records through the public contact form.

03How we use information

We use personal data for the purpose explained when it is collected, including to:

  • Respond to enquiries, assess requirements, arrange discussions and follow up on interest in our products or consulting services.
  • Verify registrations, manage subscription preferences and send publications you have requested.
  • Operate, maintain and secure the website, prevent abuse and troubleshoot technical issues.
  • Maintain business records, comply with applicable obligations and establish or defend legal claims.

Newsletter subscription is optional. Making an enquiry or registering interest does not by itself subscribe you to the newsletter. We seek consent where required by applicable law, and may collect, use or disclose data without consent only where the law permits or requires it.

04Service providers and disclosure

We share information with people and providers who need it for the purposes above. This can include our team and providers of hosting, identity verification, email, business communications, subscriptions and site security.

Depending on the feature you use and its configuration, these include AWS for infrastructure, Ghost for subscriptions, Mailgun and Google for email or business services, Slack for internal registration notifications, Cloudflare Turnstile for abuse prevention, and Xero for the sign-in you initiate. External font delivery may also involve Google. Each provider may process technical information needed to provide its service.

We may disclose information to professional advisers or authorities where appropriate to meet legal obligations or protect legal rights, and in connection with a business reorganisation or transfer subject to applicable safeguards. We do not sell personal data.

05Cookies and browser storage

The site stores your selected colour theme in your browser’s local storage so it can be retained between pages and visits. You can change it using the theme control or remove it by clearing site data in your browser.

If you use Xero sign-in, temporary cookies support the authentication process and help verify that the response belongs to your sign-in request. Security features and external services may also use cookies or similar technologies under their own policies.

You can manage cookies and site data through your browser. Blocking them may prevent sign-in or other features from working. If we introduce optional analytics or advertising technologies, we will update this notice and provide choices where required.

06Protection and retention

We use reasonable technical and organisational measures appropriate to the information and its purpose, including access controls and secure transmission where supported. No internet service or storage method is completely secure.

We retain personal data for as long as reasonably needed for the purpose for which it was collected, including applicable business, legal and record-keeping requirements. When that purpose no longer applies and retention is no longer necessary, we take steps to delete or anonymise the information. Backup and provider retention cycles may affect when all copies are removed.

07Processing outside Singapore

Our providers or business contacts may process personal data in countries outside Singapore. Where we transfer data overseas, we take steps required by applicable law to ensure a comparable standard of protection, for example through contractual safeguards or other legally recognised arrangements.

08Your choices and requests

You can request access to or correction of your personal data, ask how it has been used or disclosed, or withdraw consent for future collection, use or disclosure by emailing contact@dorje.ai, for the attention of the person responsible for data protection. Please explain your request without including unnecessary sensitive information.

We may need to verify your identity and clarify the request. Applicable legal exceptions may limit what we can provide or change. If a permitted fee applies, we will tell you before proceeding. We respond within the time required by applicable law and explain if more time is needed.

You can unsubscribe from publications using the link in an email or by contacting us. Withdrawing consent may affect our ability to provide a requested service; we will explain relevant consequences. It does not affect prior lawful processing or information we must retain by law.

09External services and children

Links to third-party services, including Xero, external demo applications and publications, may take you to a service with its own privacy notice. Review that notice before providing information. Our business website and services are intended for professional use and are not directed at children.

10Updates and contact

We may update this policy to reflect changes to our practices, services or applicable requirements. The effective date above identifies the current version. Where required, we will give additional notice or obtain consent for material changes.
